Democracy International (www.democracyinternational.com) is seeking an Operations and Communications Assistant will be the primary individual supporting day-to-day corporate operations and communications and outreach efforts. The position requires an individual with the ability to manage numerous responsibilities and assignments, discern and internalize supervisor?s goals and support them proactively, and think creatively about solving new problems or answering new questions as they arise. This position reports to the Director of Operations and Strategy, but will interact with other members of the management team, including DI Principals, on a regular basis.
Specific Responsibilities:
Corporate Operations
- Responsible for ensuring smooth and efficient office operations. Some specific responsibilities include answering phones and managing phone coverage, handling mail, maintaining supply levels (ensuring we never run out of key supplies), and resolving any other problems or bottlenecks that limit home office productivity.
- Serve as primary point of contact with landlord and vendors on issues of office maintenance and ongoing service or support issues.
-?Support other corporate operations needs, including development and distribution of corporate policies and procedures, conducting training for staff, managing corporate inventory, etc.
-?Support insurance and human resource needs (paperwork for new employees and interns) in both HQ and field offices as necessary.
- Be a go-to person for solving and managing problems that arise and creatively contributing to new processes and tools to make DI more efficient.
- Other specific responsibilities include: serving as an assistant for management team as needed, provide additional ad hoc support (drafting memos, conducting research, taking notes, etc.) for important home office activities and initiatives.
Communications and Outreach
- Maintain and regularly contribute content to DI website.
- Responsible for day-to-day implementation of DI?s social media strategy, including regularly updating DI Facebook and Twitter accounts.
-?Support communications and outreach team with research, note-taking, drafting, logistical and planning support, etc.
-?Organize and manage DI outreach events, including events related to specific projects and other corporate events like an annual retreat/planning meeting.
-?Update company leadership on communication and outreach efforts as needed, including tracking web and social media analytics.
- Other duties as assigned to support DI communications and outreach efforts.
Qualifications:
- Bachelor?s degree in communications, public relations, business, political science, international relations, public policy, or a related field;
- Experience in operational and administrative support and backstopping, preferably for a small organization.
- Experience supporting or managing communications and/or public relations, including knowledge of and experience with social media tools and strategies.
- Strong organizational and writing skills; ability to quickly learn new skills, even when they are new to the organization and no existing DI staff member can teach them (e.g. a new piece of software); keen aptitude for determining and internalizing corporate goals and using them to be a proactive member of the DI team.
- Ability to work in a small office with other staff members on multiple, simultaneous projects.
- Strong tech skills, including experience using or ability to quickly learn MSOffice, Adobe products (Photoshop, InDesign, Acrobat), web-based content management systems (Drupal, Wordpress), etc.
